It is not a big problem to buy a new server and install a new version of a database program. The challenge lies in transforming the new technology into real productive processes in the business. How do you get the most out of your investment? The most important factor is that employees, customers and other people involved utilize the IT investment as intended, only then will the business be able to create value by using IT.
This will happen if the investment:
1. Is done because there is a commercial need, and is not done based on what others do or what seems smart. The organisation’s needs should be mapped in advance, sot hat the solution helps improving processes and collaboration in the business.
2. Is completed with a successful implementation, not only from a technical perspective, but also from an organizational point of view. The users should be involved in the set-up of the solution, so that it will match their exact needs.
3. Is taken into use in the most convenient way, something which unfortunately not can be taken for granted. Courses and instructions are generally necessary in order to start using the systems successfully.
Today, expressions like ‘Web2.0’, ‘mobile’, and ‘on demand’, together with the functionality behind, are creating a brand new agenda. Everything is expected to be accessible as internet programs and through a mobile phone. With the right software, the user will through a mobile phone be able to access a lot of information that traditionally has been out of reach outside the office or a computer, because it requires a connection to the business’ network via a laptop. The user can with the right program receive and send e-mail, and access customer data in the business’s CRM system, handbooks and procedures from a mobile phone. The access from a mobile phone has certain limitations, and contains only the most frequently used functions. This though, covers 99% of the users needs.
This implies that we are moving away from the traditional IT programs that are solely installed on a PC. The trend is moving towards a lesser focus on the number of functions in the programs, and the expectation that a specific function is working in the exact same way we are used to.
This is a very healthy development, because it shows that it is more important that a function gives value for those using it, by improving collaboration, rather than having access to a ton of functions that never are used. Many have already experienced this by changing from Microsoft Word to the free open source product Open Office. At the same cost it is then affordable to have a well equipped office product, courses and instructions, as well as the development of a solution that promote collaboration and the sharing of knowledge.
In this way it is achieved that the solution does not only work, but functions - and thereby creates a significant value for the business and the individual workers.

Traditionally, most people think of hardware, software and networks when talking about IT in the work environment. But, in making the best out of IT investments, it is important not to focus on the IT solutions with the largest amount of "features and functions", there are far more important matters that should be taken into consideration.
