Symfoni QMS
Controlled documents in electronic company handbooks, has many benefits and a wide applications potential, when a company needs to explain for a wide group of employees:

  • How different working procedures is carried out
  • Who is responsible for what
  • What is allowed and what is not allowed for an employee
  • Best practices in general

But just as efficient electronic handbooks can be at communicating important information to a company’s employees, just as time-consuming and troublesome can it be to establish, review, maintain, approve and distribute the very same handbooks. It can require many resources to control how many changes a document has gone through and to identify the current version.

Overview and user friendliness
Symfoni QMS 6.0 has been developed and improved since 1995 accordingly we can offer a proven Quality Management system which gives a god overview, is user friendly and most of all secure
The process regarding the document handling:

  1. The employee (the author) sets up a document in QMS, and sends the document for approval at on or several other employees in the build in workflow, which is handled automatically by e-mail.
  2. It is possible to send input to the author before the final publication, and you can link to internal or external documents – it could e.g. be ISO standards which a document describes the execution of.
  3. The approved document can now be read by the relevant employees e.g. in a browser, where ever the may be located. Employees can find the published documents in several ways. They can access a collection of documents by using graphical elements. It could be an overview of documents connected to a specific production process, or documents related to e.g. purchasing.
  4. The author is automatically notified by e-mail when the document is due for revision. The document maintenance can also be shared among several employees if needed.

Symfoni Deviation – identify repeating errors
The Symfoni deviation module is an advantage if your company is ISO certified or subject to special legislation or demands like FDA and you must secure that repeating deviations is registered. Deviations can be customer complaints or incorrect delivery, that may require changes in procedures or instructions.
Remark: If you are working according to FDA legislation, Symfoni can provide the extra documentation for the validation process

Modules in Symfoni QMS
Choose which modules you want to use in your installation:

Microsoft Office integration
Use Word or Excel as an editor, and get full integration with Microsoft Office through the included Swing Software. Besides Ms Office integration Swing enables you to create PDF files of the Lotus Notes documents with a single click.

Review Handbook
In the Review database you are able to edit the draft document while the document is being examined by readers or approvers for commenting before distribution.
 
Tracking Request
The tracking request module gives you the possibility to force the readers to sign for the reception of the document.

Archive and document history
An archive database to all previous published documents, including the document history.

Controlled Copy
The module Controlled Copy gives you the opportunity to keep track of prints, so that people with a controlled copy (print) will be notified if a new revision is available.

Graphical elements
With the graphical process module for QMS you are able to give the end users a graphical view of processes and related documents to those processes. The existing document structure in the database is supplemented with a graphical view, which gives the readers a more intuitive access to the documents.

Change Request
The change request module keeps track of all change requests to the content of your QMS handbooks, in this way it is easy to include all changes when the document is updated.

Special functions

Different languages
It is possible to allow the individual users to select the preferred language to be shown in the views and fields in the application. English, Danish, Norwegian, Swedish are included. More languages can easily be added without developing.
Extra safety for international companies: Identical documents in several languages, is often necessary in international companies, e.g. in connection with Intranet with local language versions. In Symfoni QMS these documents are handled parallel, and it is automatically controlled that they follows the same revision.

The organization database: QMS can function with any organization database, and if one dose not exists – the public names and address book

Group or role based approval: It is possible to select if special internal roles should be used for approval access, or if existing Domino groups from the public names and address book should be used.

Access control for document types: It is possible to specify that only a selected group of people should have access to create certain document types, e.g. if only management is allowed to create documents regarding company policy’s
